02What data we process

What you write in our forms (viewing request, home valuation, showcase, newsletter): name, email, phone if you give it, the property you are interested in and your message.

If you create an account: name, email, phone if you add it, your password (stored encrypted), the homes and searches you save, and your consent choices. We also record the date and time you sign in (not the pages you look at).

If you talk to the site assistant: the conversation and what you tell us about yourself and the home you are looking for, including budget, timing and the state of your mortgage.

In the forum: your public name, your email (which stays private) and what you publish.

While you browse: the technical data needed to run the site, and a random session key kept in your browser that lets us count how often a property is viewed without knowing who is looking. Only if you are signed in and have agreed to profiling are the homes you open and save, and the searches you save, linked to your profile (see «Profiling»).

We also count visits to the site, anonymously: which page is opened, from what kind of device, in what language and where you came from (for example a search engine or a social network). We do not use cookies for this and we do not store your IP address: we use it for an instant only to compute a random code, which changes every day and which we delete after two days. It stops us counting the same person twice on the same day, and it does not let us recognise you or follow you from one day to the next.

03Why we process it, and on what basis

To answer your requests and arrange viewings and valuations: pre-contractual steps you ask us to take.

To run your account, your saved homes and searches, and to send you the alerts about new homes you asked for: the service you requested. Every alert can be switched off from the link at the bottom of the email.

To send you the newsletter and marketing messages: your consent, which you can withdraw at any time.

For the profiling described below: your consent.

To organise our work on the requests you have made, for example knowing that you asked for a viewing, made an offer or got your mortgage, and giving priority to people who are about to decide: our legitimate interest. You can object at any time.

To publish forum discussions: your consent. To keep the site secure, and to measure interest in each property in aggregate form for the owners who instructed us: our legitimate interest. To count visits anonymously and understand how to improve the site, and to record sign-ins to your account (security and support): our legitimate interest. You can object at any time.

04Profiling

Only if you choose it, with the box «Personalised suggestions based on the homes you view» when you register or in your account. Without it, the site works just the same.

With your consent we link to your profile the homes you open, reopen and save, the searches you save and change, the viewings you ask for and how they go, and what you tell the site assistant. From this we estimate how active your search is and how close you are to a decision, and we learn what you like and what you don’t. We also link to your profile how often you sign in to your account: if you have also agreed to commercial communications, we use it to choose when to invite you to a conversation with the firm.

We use it to suggest homes that suit you and to decide what to write to you and when. The profile helps the people at our office: it never makes decisions on its own that have legal or similarly significant effects on you, and it never changes prices or terms.

You can withdraw your consent whenever you like, from your account (the «Consents» section) or by writing to us. From then on we no longer link what you view and save to your profile, and we stop using what we had collected; only the facts of the requests you made remain, handled as described above.

05The site assistant

The assistant answers automatically, using an artificial intelligence system: it tells you so at the start of the conversation. What you write is processed on our behalf by OpenAI (OpenAI Ireland Ltd), acting as data processor. Processing may also take place in the United States: the transfer is governed by the standard contractual clauses approved by the European Commission (decision 2021/914). Please do not write data that is not needed in the conversation, such as documents or health data.

If you leave your contact details, or if you are signed in to your account, the conversation becomes a request to our office and a person gets back to you.

06How long we keep it

Requests (viewings, valuations, conversations with the assistant) for 24 months from the last contact.

Account data until you delete your account, which you can do at any time from the account page. Deleting it removes your data from the site; to also delete your record in our management system, just write to us.

Profiling data for 24 months from the last time we collected it, and never beyond the withdrawal of your consent.

Forum content while it is published, or until you ask us to remove it. Property view counts in aggregate form. Anonymous visits are kept only as totals, which are not personal data; the daily codes are deleted after two days. The dates you sign in to your account are kept for 24 months, and deleted straight away if you delete the account.

07Who we share it with

Technical suppliers who process it on our behalf as data processors: the server that hosts the site, our management system, the email delivery service, and the artificial intelligence provider behind the assistant.

Property owners never receive your data: they only see aggregate figures and the viewings of their home, without names or contact details.

We never pass data to third parties for marketing.

08Your rights

Access, rectification, erasure, restriction, portability, objection (including to profiling and to processing based on our legitimate interest), withdrawal of your consents at any time, and complaint to the Italian Data Protection Authority. Write to privacy@prestigeimmobiliare.info.
